Systema Redivivum is operated by VALRO IT. This notice describes the initial website and inquiry flow for software rescue, modernization, integration, and fit check requests.

Contracts, invoices, and formal client communication are handled through VALRO IT. Website fit check requests and privacy questions can be sent to [email protected].

Information you may provide

  • Name, work email, company, and role.
  • Project symptoms, business context, and available materials.
  • Optional first-contact attachments such as redacted screenshots, PDFs, or plain-text notes.
  • Follow-up messages needed to scope a fit check, a proposal, or follow-up work.

Information not to send through forms or email

  • Passwords, private keys, API tokens, seed phrases, or secret values.
  • Production database dumps or customer records.
  • Private documents that are not needed for initial scoping.
  • Source archives, logs with tokens, or unredacted screenshots.
  • Credentials for third-party services.

How inquiry information is used

Inquiry information is used to understand the project situation, decide whether rescue work is a fit, prepare a scoped response, and communicate about requested services.

Where form submissions are stored

Fit check form submissions may be stored in Systema Redivivum intake storage outside the public website root. For the website form, submitted fields may be stored in a database and optional first-contact attachments may be stored in private object storage. This storage may include the submitted form fields, technical request metadata such as IP address and browser user agent, and any optional first-contact attachments. Direct email messages are stored in the relevant email mailbox. Server logs may record request time, path, IP address, user agent, and basic delivery or error information.

The intake store is for redacted first-contact context only. It is not a secure project repository, credential vault, production data room, or long-term document archive.

AI and automation

AI or automation may be used to structure safe project symptoms, draft internal notes, and prepare follow-up questions. Sensitive production data and secret values should not be provided for this purpose.

Project access

If deeper review is agreed, access should be provided through scoped temporary accounts or secure sharing methods. Production access, source code, and sensitive materials are handled only after terms are agreed.

Retention

Spam, test submissions, and obvious junk may be deleted quickly. Fit check inquiries that do not become active work are normally deleted or anonymized after 90 days. Active lead and client discussion records may be kept while the matter is active and for a reasonable period afterward so the context is not lost. Client project records, contracts, invoices, and accounting records may be retained separately under the relevant engagement and business recordkeeping requirements.

Backup copies may keep submitted information for a short additional period until backup or export rotation expires. Attachments may be deleted earlier when they are no longer needed for fit checking.

Your choices

You may ask to correct or delete first-contact inquiry information where deletion is practical and not in conflict with active service, dispute, security, or recordkeeping needs.
